Brevo: compare sending capacity, stored contacts and subscriber workflows

Brevo is a candidate when subscriber email needs to sit alongside a broader customer communication brief. Start with the intended audience, messages and response process. A platform offering several channels is useful only when the business has an appropriate purpose and an owner for each one.

On this page

Our editorial recommendation is to evaluate Brevo when the team needs to compare email sending volume and contact storage explicitly. Include Moosend and MailerLite for the same subscriber journey. Keep an existing email platform when the remaining improvement is preference handling or a clearer reply owner.

Use the actual sending calendar

Brevo's current plan guide describes a Free allowance of 300 email sends daily and up to 100,000 stored contacts. Paid tiers use monthly sending and contact limits, while automation has its own scope. A large contact store therefore does not imply the ability to send to that entire list in one campaign. Plan definitions

For an illustrative newsletter to 900 subscribers on one chosen day, 300 daily sends cannot support the same-day brief. Spreading the campaign across several days changes the customer experience and the measurement window. Request the paid configuration that covers the intended calendar rather than multiplying a daily allowance by 30 and assuming arbitrary timing.

Workload dimension What to record
Stored contacts Required active records and applicable storage limit
Intended sends Newsletter, welcome and other configured messages
Timing Same-day campaigns, recurring cadence and peaks
Automation Contacts and operations in the required workflow
Team access People who draft, approve and handle replies
Other channels Separate intended use, eligibility and charges

Authenticate the sending identity

Brevo publishes a domain-authentication guide covering its domain code, DKIM and DMARC process. Use the values supplied for the actual account and have the domain administrator check existing records before making changes. Authentication guidance

The operating record should identify the sending domain, sender address, monitored reply address and owner. Send controlled messages to inspect the identity and the return path. Authentication is a configuration check; it does not establish that every message will reach the inbox or that the audience expects it.

Design one subscriber journey

An illustrative consulting business offers a monthly operations newsletter. Its form states the topic and frequency. The welcome message confirms that purpose and delivers any promised resource. A later question about a service reaches a person rather than starting an unrelated automated sequence.

Keep the subscription source, message purpose, preferences and suppression status attached to the record. When another application updates the contact, preserve those states. A CRM update should not silently reset an opt-out.

Use subscriber to owned conversation to define the campaign owner and accepting sales or support role. Check a subscriber changing preferences, asking a question and opting out. Inspect both the marketing record and the destination queue.

Compare the complete configuration

Quote email sending, stored contacts, the required automation, team access and any additional channels for low, normal and peak workloads. Avoid interpreting a low starting price as the cost of every function visible in the platform.

For an illustrative list of 2,000 subscribers, four newsletters create 8,000 intended sends. Welcome messages for 200 new subscribers add their own volume. Any transactional or other service messages require the applicable account scope and their own delivery process.

Use complete quotes in the cost planner. Keep setup, migration overlap and staff maintenance separate. Compare equivalent output with a subscriber-based platform rather than treating contacts and sends as identical billing units.

An acceptance record for the pilot

Inspect a new subscription, duplicate event, preference change, unsubscribe, useful reply and destination failure with controlled records. Record whether the right message was delivered, whether the intended reply path worked and whether the next owner accepted the request.

Review unresolved replies and suppression changes alongside campaign metrics. A high click count does not excuse an unanswered customer question. Read Moosend vs Brevo for the billing-model and workflow comparison, and subscriber email vs sales outreach for the audience boundary.

Separate a marketing journey from a service message

Brevo's current plan guidance describes additional sales and other platform scope alongside marketing. Quote the product actually required for a receipt, customer conversation or sales task rather than treating all communications as interchangeable campaign sends. Preserve the business purpose and authorized sender for each route. Current scope.

For an illustrative shop, an order receipt needs accurate purchase context, a requested stock alert needs the relevant variant and a newsletter needs its stated subscription purpose. A contact present in all three contexts should not receive one undifferentiated automation. Record which source owns each fact and which changes must stop or alter a queued message.

Test a cross-tool correction

Create a staff-controlled contact in the intended source system, change a relevant preference and inspect the marketing record after the actual integration runs. Repeat the update and simulate an unavailable destination. Keep the stable event identifier and partial outcome so recovery does not duplicate a customer action.

Ask another operator to find the last accepted state, identify pending work and explain whether retry is safe. The marketing-event playbook provides that handoff record without assuming any native connection.

Compare a broader set of suitable platforms

Read ActiveCampaign vs Brevo for a defined event-and-channel project. GetResponse is relevant when acquisition and nurture are connected requirements, and Kit or Campaign Monitor can be researched for particular publishing operations. Keep these as conditional shortlists, not claims that more platform scope necessarily improves the reader's business.
