Customer presentation acceptance: content, format, access and next action
A presentation is ready when its facts are approved, its delivered format works for the customer and the next action has an owner. This checklist evaluates the actual customer copy. It can be used with Gamma, Beautiful.ai, Canva, Pitch or the editor your team already owns.
The checklist is an editorial acceptance method. It does not certify a product's export quality and is not a substitute for reviewing the promises your business is making.
1. Write the delivery requirement
Ask whether the customer needs to view, print, review or edit the material. Record the intended application, offline requirement, viewer access and brand expectations. “PowerPoint export available” is less precise than “the customer can edit this price table in their receiving PowerPoint application.”
Customer / proposal ID:

Destination application and viewer role:
Offline or forwarding requirement:

Use this requirement during the pilot, before committing to a subscription. An attractive browser preview is not evidence that the required file is usable.
2. Review facts against the approved brief
| Item | Pass condition |
|---|---|
| Customer problem | Accurately states the task being addressed |
| Proposed scope | Describes the agreed deliverables and responsibility |
| Assumptions and exclusions | Material limits are visible and understandable |
| Price or pricing basis | Uses the authorized amount and relevant conditions |
| Dates and commitments | Approved by the accountable delivery role |
| Claims and examples | Supported or clearly identified as illustrative |
| Requested decision | Recipient can identify what to do next |
Inspect AI-generated wording line by line. Resolve invented results, unsupported guarantees and unapproved dates. If the brief is missing a decision, keep it unresolved internally until the owner supplies the answer.
3. Open the actual exported file
Export a representative deck containing the longest heading, realistic price table, image, link, notes and any layout the customer must edit. Open it in the destination application and inspect the content.
Gamma documents presentation-based export behavior and workspace branding conditions. Beautiful.ai documents eligible editable-PowerPoint offers and warns that font availability can affect appearance. Canva describes several presentation output formats. These capabilities are inputs to the test rather than a guarantee that every design passes. Gamma export help, Beautiful.ai export help and Canva presentation outputs
Check numbers, line breaks, fonts, notes, images and links. Try editing the required table or text, then save and reopen it. Confirm that the result remains usable. Record the exact export settings and account offer used in the test.
4. Test customer access
For browser delivery, open the intended customer copy with the expected viewer access. Inspect login requirements and forwarding exposure. For a file, ensure the customer receives the approved version rather than an old attachment or internal draft.
Read the deck on a small screen and inspect the printable output if required. Important exclusions should remain legible. Do not depend on the customer opening speaker notes to find a material condition unless that is explicitly part of the agreed delivery.
5. Identify one approved version
Approved version and factual reviewer:
Accepted output and destination test:
Known limitation / resolution:
Customer copy delivered by / delivered at:
Requested next decision:
Follow-up owner and backup:
Replacement version, if revised:
Receiving team's accepted scope record:
If a correction is needed after delivery, identify what changed and which version replaces the earlier one. Keep the customer and receiving team aligned on the accepted promises. A link-open event or presentation view does not establish approval.
6. Record acceptance and exceptions
Pass only when facts, output, access and the next action meet the brief. If an export needs manual repair, record the work and include it in the recurring operating estimate. A product can still be suitable with a known repair step, provided the owner and cost are explicit.
Use the proposal workflow for drafting through handoff and the handoff planner for actual roles, staffed hours and acceptance targets. Compare the presentation candidates only after defining the same output requirement for each.
