A useful comparison asks whether a colleague can cover the inbox without relying on the person who originally handled each customer.

Use the same support vocabulary

Define what new, waiting, escalated and resolved mean. Decide who owns customer updates when someone else investigates.

Then prepare sample requests with expected outcomes. Include ordinary questions and an exception that has no immediate answer.

Neither a familiar inbox layout nor a detailed ticket form automatically guarantees those outcomes.

Let the backup agent run the pilot

Have the administrator prepare the configuration, then let another colleague handle the examples. Watch where they hesitate and what information they cannot find.

Some friction comes from missing knowledge rather than software. If the expected answer exists only in the founder's memory, fix that before attributing the problem to a product.

Ask the team to revise one knowledge answer and one routing rule. Maintenance work is part of the comparison, especially for a small team without a dedicated systems administrator.

Match costs to the intended setup

Review current plans rather than relying on older articles about either product's pricing model. Confirm the actual users, channels, knowledge, automation, reporting and AI requirements. Help Scout pricing and Freshdesk pricing

Include migration and ongoing administration. A minimal configuration can be appropriate when it solves the operating problem; additional features should earn their place through a demonstrated need.

Compare reporting only after aligning the definitions of response, waiting time and resolution. A faster-looking dashboard may reflect a different clock or event definition.

Decide from ordinary work

Prefer the configuration that lets the backup agent act correctly, keeps escalations owned and makes old work visible. We do not assign a universal ease-of-use winner without a comparable hands-on test.
