Aircall vs Dialpad: define the calling job before choosing
Aircall and Dialpad can enter the same phone-software shortlist, but the comparison needs a defined scope. Aircall presents a calling platform for customer-facing teams; Dialpad separates business communications, support and sales products. A useful evaluation identifies the actual Dialpad product before comparing capabilities. Aircall and Dialpad
Our decision approach is to start with the largest source of unfinished work. If it is customer calls losing context between agents and the CRM, prioritize that journey. If the project also replaces employee communications or a specialist calling operation, include those requirements explicitly.
Compare equivalent configurations
| Decision area | Aircall evaluation | Dialpad evaluation |
|---|---|---|
| Scope | Define customer-calling teams and workflows | Identify Connect, Support or Sell for each requirement |
| Routing | Demonstrate the intended team and fallback path | Demonstrate it in the quoted product |
| CRM record | Inspect the actual fields and owner | Inspect the same fields and owner |
| Adoption | Ask agents to complete normal work | Include other employee roles if replacing their tools |
| Administration | Change a routing rule during the pilot | Test the equivalent change and product boundary |
The table describes what to test, not an unsupported feature score. A capability shown in a sales demonstration should be matched to the purchased configuration.
Run a mixed-intent call
Have a test caller ask about a new purchase, then mention a problem with an existing service. The first agent should recognize the change, route it appropriately and preserve the unresolved commitment.
Next, make the usual specialist unavailable. Determine whether another colleague can continue and whether the CRM reflects the current owner. Keep screenshots or written observations from your own pilot, including failures.
This test is more revealing than comparing how quickly each system starts an ordinary call.
Compare the total proposal
Request the same users, numbers, destinations, term and CRM requirements from both vendors. Include any required AI, reporting or management components. See Aircall plans and Dialpad plans.
If one proposal replaces additional tools, count the savings only after testing that replacement. Track migration overlap and training separately. Missing price information should remain an open question rather than an assumed disadvantage.
Choose from the operating evidence
Prioritize Aircall for deeper evaluation when the project is centered on a customer-calling team and its records. Prioritize the relevant Dialpad product when its broader or specialist scope matches the written requirements. These are shortlist judgments, not performance findings.
Also consider JustCall for call-and-message follow-up and RingCentral RingEX for a broader communications project. Use the phone-to-CRM workflow as the common acceptance test.
