RingCentral RingEX: evaluate a broader communications replacement
RingCentral RingEX combines business phone capabilities with team communications such as messaging and meetings. It is worth investigating when the project involves several everyday communication tools, rather than a single customer-facing number. RingCentral also markets separate contact-center offerings; those should not be silently included in a RingEX comparison. RingEX overview
Think of a company replacing an aging office phone setup while employees work across locations. The project has two audiences: customers who need a reliable route into the business, and staff who need an understandable daily workspace.
Inventory what will actually be replaced
List business numbers, users, shared lines, devices, meeting arrangements and current internal communication tools. Beside each, write “replace,” “retain” or “decision pending.” This prevents a broad platform purchase from being justified by savings that never materialize.
Separate customer-facing requirements from internal convenience. A meeting feature does not tell you how an unanswered customer call will be handled, and a well-designed call path does not prove that the staff collaboration experience fits the team.
Use a two-part pilot
The first part should follow an ordinary employee through a normal working day. Can that person make and receive calls, find colleagues and use the proposed communication setup on their actual devices?
The second part should follow an unresolved customer issue. Transfer a test call to another department, leave one unanswered and arrange an after-hours contact. Ask a different employee to locate the next action without relying on the original agent's memory.
| Workstream | Acceptance evidence |
|---|---|
| Employee adoption | Routine tasks completed without a parallel workaround |
| Customer access | Expected routing and fallback on each tested number |
| Administration | Named owner can add, change and remove appropriate access |
| Continuity | Outstanding customer work survives absence or transfer |
These are proposed acceptance tests, not findings from our own deployment.
Keep the proposal itemized
RingCentral's pricing material distinguishes RingEX from other products and identifies optional extensions. Request the precise plan and additions needed for the proposed configuration. RingCentral plans and pricing
Include device costs where relevant, numbers, destinations, migration work and the period of overlap with existing tools. For more demanding queue management or contact-center needs, ask whether the requirement is satisfied by the quoted RingEX configuration or requires another product.
Assess administrative effort as well as the subscription. A broader replacement affects onboarding, offboarding, training and internal support.
Alternatives and the final decision
Dialpad is a relevant comparison when the project includes everyday business communications; see Dialpad vs RingCentral RingEX. Aircall and JustCall offer other candidates for a customer-calling shortlist, while Quo merits examination for a smaller shared-number requirement.
Choose the scope your organization can adopt and maintain. The deliverable should be an inventory of retired and retained tools, a verified customer call path and an owner for ongoing administration.
