Marketplace signal to verified evidence and an owned action
Use this playbook when a dashboard or report suggests that something needs attention. The goal is a reproducible investigation and an accepted action. An alert is not a diagnosis, and a change in a chart is not by itself evidence that a particular customer order has a problem.
Label the observation
Separate connected account data, public listing observations and research estimates. Record the market, product identifier, source, time and refresh state. DataHawk and Helium 10 offer different research and analytics scope; verify the actual field and account coverage. DataHawk definitions and Helium 10 analytics.
For an illustrative product with declining orders and more availability questions, possible explanations include stock, listing content, price, advertising and measurement. List the competing explanations before selecting the first action.
Create a bounded investigation
| Field | Useful content |
|---|---|
| Signal | Observed change and why it matters |
| Scope | Marketplace, country, account and product identifiers |
| Evidence | Source, observation time, freshness and estimate label |
| Definitions | Window, currency, refunds and attribution used |
| Hypotheses | Plausible causes and checks that distinguish them |
| Action owner | Person authorized to inspect or change the relevant system |
| Review result | Verified finding, decision and next check |
Preserve absent values as missing. Do not replace them with zero and conclude that demand or stock disappeared. Capture the definition of any derived metric before sharing it with another team.
Verify before changing a promise
Check a stock-related observation against the authoritative inventory and channel record. Check a listing problem on the live page. Reconcile advertising and sales windows before changing an offer based on apparent attribution.
If customers are affected, assign a service owner and retain the actual order or case references in the approved system. A dashboard export is not a substitute for the record that establishes a customer's entitlement or delivery state.
Hand the action to the right role
An analyst may raise the signal, operations verifies stock, the catalog owner changes content and marketing reviews spend. Name the accepting role for each action and record completion in the destination system. A message saying 'please investigate' does not transfer responsibility until the receiver accepts it.
Goflow may be relevant to order execution, but the presence of a report or integration does not establish that an operational correction has occurred. Confirm the actual destination record and handle repeated updates carefully. Goflow operating scope.
Rehearse with incomplete evidence
Choose one stable product, one listing change and one stock concern. Introduce a missing field or stale feed and ask a second operator to reconstruct the investigation. A good process explains what is known, what is uncertain and which check would resolve it.
Keep the review small enough that it is actually maintained. If no one can own the recurring action, expanding the dashboard adds reporting work rather than improving decisions.
Review completed decisions
Track false alarms, unresolved signals, repeated data-definition problems and actions that were never accepted. Compare DataHawk and Helium 10 with this same question and dataset. Native marketplace reports remain a valid starting point for a narrow single-account review.
