Move B2B research into the CRM without importing confusion

Research becomes useful when the team can explain why an account matters and what should happen next. A large import with no relevance rule or owner usually creates more records than usable work.

This workflow separates target selection, data review and CRM ownership. It applies whether research comes from a data provider, a public company source or existing business knowledge.

Define the account profile

Write the company characteristics, regions and business problem that make an account relevant. Identify the roles that might understand that problem.

Distinguish required criteria from helpful context. An unknown optional field should not force a guess; a missing essential field may require review before acceptance.

Preserve source context

Record where the information came from and when it was checked. Separate external data from customer-provided facts and internal account knowledge.

Review the company and domain match first. Then inspect role relevance, required fields and known freshness concerns. A technical verification label does not establish buying intent or suitability for a particular contact method.

Deduplicate before importing

Look for the same organization and person in the CRM. Decide whether the result should create a record, enrich an existing one or add a research note.

Set field ownership rules. External enrichment should not silently overwrite a customer preference, an account owner's confirmed fact or an existing relationship status.

Start with a small approved sample and inspect the resulting records manually. Include an intentional duplicate and a conflicting value in the test.

Assign the next action

Every accepted account should have an owner and a reason for selection. The owner decides an appropriate next action under the team's contact-handling process.

Keep this decision separate from data availability. Finding a contact detail does not automatically justify using it, and an imported account is not automatically a qualified opportunity.

An illustrative research note might read: “Company matches the service profile and operates in the target region. Role responsibility needs confirmation. Account owner to review before any contact.”

Measure useful output

Track researched accounts, accepted accounts, duplicates, unresolved records and time spent reviewing. Calculate cost per accepted record using data access and staff effort.

Report results by segment so a weak region or role does not disappear inside an overall average.
