Zapier: automate the handoff without hiding failed work
Zapier is a candidate when an event in one application should trigger work in another. Its official product describes Zaps built from triggers and actions. A common example is a website inquiry that should create or update a CRM record and assign follow-up. The goal is an owned customer request. A successful automation run that leaves an unassigned record has not completed that business task.
Specify the event and destination
Write down what starts the workflow and which record should exist afterward. Include the stable submission identifier, relevant contact information, source and responsible team.
Decide what happens when the person already exists in the CRM. A new inquiry may deserve a new activity on an existing contact rather than another contact record.
Also distinguish a customer acknowledgment from an internal notification. The content, recipient and consequences are different.
Verify the connector at action level
Open the documentation for the exact trigger and actions being proposed. Check whether required fields can be read and written, which account permissions are needed and whether the event arrives promptly enough for the team's process.

Do not assume an account connection will remain valid indefinitely. Include credentials and access ownership in the maintenance plan without sharing passwords between staff.
Review successful actions and incomplete outcomes
After a test run, inspect the destination manually. A technical success response is evidence that an action completed, not proof that the resulting customer record is correct.
Create a small reconciliation routine: compare source inquiries with owned destination activities. This can reveal missing events, mapping errors and unassigned work that individual run notifications do not explain.
Estimate tasks from the real path

Alternatives and next steps
