Pipedrive: make the next sales action visible

Pipedrive is a candidate when sales opportunities need clear stages, responsible owners and follow-up. A familiar problem is a pipeline full of promising opportunities that have no dated next action. Moving a card to a new stage may make a report look current without changing what a salesperson should do tomorrow.

Give stages an observable meaning

Write an entry condition and exit condition for each stage. “Interested” is difficult to interpret consistently. “Discovery completed and requirements recorded” gives colleagues something to verify.

Avoid building stages around every email or call. Stages describe meaningful progress; activities describe the work needed to make that progress.

For each open opportunity, require an owner and either a next action or a documented reason to wait. Set a review date for waiting opportunities so they do not disappear indefinitely.

Trial ordinary and awkward deals

Use a new inquiry, an opportunity with multiple contacts and a deal that stalls. Include a change of owner.

Keep sales completion separate from service completion

A won deal can still require onboarding, implementation or support work. Decide which system will own that work and what information must cross the boundary.

Do not force a complex customer-support queue into sales stages solely to avoid another decision. If service work is the main problem, examine the helpdesk category and define the connection between systems.

Price the required plan and additions

Include the time to clean existing records, define stages and train staff. A workflow that depends on regular manual upkeep needs a named maintainer and time in the operating budget.
