Katana: turn inventory and production facts into credible customer promises

Katana belongs in a customer-operations shortlist when the team cannot reliably answer what can be delivered and when. A stock figure becomes useful to a customer only after somebody understands reservations, purchasing, production and the remaining work. This is inventory and operations software; it does not replace a customer inbox or automatically establish a delivery promise.

Understand the operating scope

Katana presents inventory, purchasing, order management, warehousing and manufacturing capabilities for product businesses. It also publishes integration options for connected sales and business systems. Confirm the specific products, connectors and entitlements in the current offer before designing the workflow. Official product overview and product discovery.

Its practical relevance is strongest when an order depends on more than the finished stock shown in a storefront. A made-to-order product might require components, available production time and a purchase that has not arrived. Customer service needs a readable explanation of those dependencies, not unrestricted access to change inventory records.

Define what available means

Create a short vocabulary shared by operations, sales and support. Physical stock, reserved stock, incoming stock and a finished item expected from production are different things. Record whether a customer-facing date is a confirmed commitment or an estimate awaiting another dependency.

Situation Operational question Customer response to prepare
Finished product exists Is the quantity actually available to this order? Explain the accepted dispatch window
Component is missing Is there a confirmed inbound date? Give a review point rather than an invented completion date
Orders compete for stock Which reservation has priority? Have an authorized person resolve the promise
Production changes Which customer commitments are affected? Assign the owner of revised dates
Order is cancelled What can safely be released or stopped? Confirm the financial and operational outcome separately

For an illustrative maker with 20 finished items and several open orders, subtracting open-order quantities is only the start. Check damaged stock, location availability and items already committed elsewhere before telling a new customer that the product is ready.

Rehearse one constrained order

Choose a representative product with a component dependency. Record the sales order, material requirement, expected replenishment, production step and final fulfillment record. Ask a colleague to explain the current blocker from those records without consulting the original operator.

Then change a dependency: delay the purchase, reduce usable quantity or cancel part of the customer order. Verify which records change, which stay unchanged and how the customer-service owner is informed. These are proposed acceptance checks, not claims of automatic behavior in every Katana configuration.

The inventory and availability category explains the distinctions to carry into a trial. Use the restock workflow if a stock event will also trigger messages to waiting shoppers. An inventory receipt should not automatically imply that every waiting customer can receive the item.

Agree on integration ownership

For each connected channel, document the SKU identity, location mapping, update direction, normal delay and failure queue. An integration logo does not prove that a warehouse adjustment is instantly reflected in every storefront. Establish who resolves a mismatch and how stock is protected while the connection is unavailable.

Include a manual fallback for customer-facing commitments. If the stock service is unavailable, define which promises sales must pause, where existing commitments are recorded and who can authorize an exception. A broad availability estimate should never be silently converted into a guaranteed arrival date.

Quote the full implementation

Request the current scope for users, locations, manufacturing needs, sales channels, data migration, integrations and implementation assistance. Include stock reconciliation, product mapping, staff training and time running the old and new processes together. A system can have a reasonable subscription cost and still be a poor fit if nobody will maintain accurate receipts and reservations.

Compare the right alternatives

Read Katana vs inFlow with the same product and production scenario. Goflow is an adjacent research path for channel order coordination, not evidence of identical manufacturing coverage. If physical stock is accurate and the only failure is answering customer questions, improve the order-support workflow before introducing an inventory platform.

Give customer service a readable availability view

The person answering a stock question does not necessarily need authority to receive purchases, change a bill of materials or release reserved items. Define a view or compact operating note containing the relevant product, confirmed availability, outstanding dependency, observation time and operations contact.

For an illustrative custom order, keep the customer's requested date separate from the date operations has accepted. If a component arrival changes, identify which commitments need review. Do not let a revised internal estimate silently overwrite what the customer was told without an assigned communication task.

During a trial, ask a service colleague to answer two questions from the proposed records: 'Can I still place this order?' and 'What changed since yesterday?' They should be able to explain what is confirmed, what remains uncertain and who can make the decision. If they need to reconcile several private spreadsheets, include that work in the implementation assessment.

Maintain a review queue for stock corrections and delayed dependencies. An accurate system is a continuing operating practice, not a one-time import. Budget the reconciliation and staff coverage that keep the availability view useful after the initial project ends.
