Customer video acceptance: correct answer, captions, access and maintenance
A customer video is ready when it gives the correct answer, can be understood and opened by the intended viewer, and has an owner for future changes. Use this checklist for a quick explanation or a reusable tutorial, regardless of the recorder or editor.
The checks are an editorial acceptance method, not a benchmark of Descript, Loom or Camtasia. A product's listed recording or editing capability does not establish the accuracy of the finished instruction.
1. Define the answer and context
Record the question, intended customer, relevant product version, prerequisite and expected next action. A general tutorial should state its boundary when the exact answer varies by account.
Question / tutorial ID:
Intended viewer and applicable version:
Prerequisite and expected next action:
Approved answer source:
Conditions or stop points:
Content owner and reviewer:
If the support answer is unknown or disputed, resolve it before recording. Choose a concise written answer when a video adds little clarity. Do not create a tutorial merely because a new editing tool makes production easy.
2. Inspect the capture for unintended information
Use prepared demonstration data. Review browser tabs, account names, notifications, addresses, credentials and material outside the intended capture area. Watch the complete recording after editing; a quick scan of the first and last frames is inadequate.
If removing a disclosure creates a confusing jump or hides a required step, re-record the segment. Keep the customer-facing instruction accurate while correcting the capture.
3. Verify the final instruction
| Check | Pass condition |
|---|---|
| Sequence | Required steps occur in the right order |
| Interface | Controls match the stated version and are visible |
| Speech | Names, values and instructions are correct |
| Edits | Cuts preserve conditions and customer meaning |
| Visual emphasis | Zoom or callouts clarify a required action |
| Expected result | Viewer can identify whether the task worked |
| Human route | Viewer knows where to ask an unresolved question |
Try the task using the finished output. A reviewer already familiar with the interface should still check whether the tutorial states the prerequisites that a new customer would need.
4. Review captions and a written alternative
Check product labels, names, numbers and negation. “Do not enable” becoming “enable” is a material instructional error. Inspect timing where a caption refers to a control that is no longer on screen.
Provide concise written steps or a summary for important recurring instructions. This also makes it easier for the support team to preserve the relevant answer in the customer's record. Do not force a customer to watch a long recording just to discover one essential condition.
5. Accept the customer viewing path
Open the intended copy with the expected viewer access. Test a small screen, audio, captions, links and any login requirement. Check whether forwarding could expose material beyond the intended audience.
An export-ready file still needs a place for the customer to watch it. Scope the hosting and access separately from the editor. If a quick shared recording is appropriate, verify the selected offer's duration and library limits. Loom plans
6. Record the actual production workload
Keep original-media quantity separate from final duration. Descript's current help documents media-minute and AI-credit accounting; older legacy offers differ. Camtasia's Essentials guidance identifies the included applications and selected Audiate functions. Descript usage definitions and Camtasia Essentials
Include retakes, editing, review, hosting and future re-recording in the estimate. Record staff effort separately from vendor charges. Do not claim a product saved time unless your team actually measured the comparable work.
7. Accept ownership and future changes
Approved output/version and reviewer:
Published customer copy and written alternative:
Last review and applicable interface version:
Content owner and backup:
Update trigger / next review:
Older-copy replacement or retirement action:
Unresolved customer question and accepting support role:
A changed screen, instruction or customer promise should prompt review. Decide how old links will direct customers to the current answer. A file that still plays can still contain outdated guidance.
Use support question to video for the complete workflow and the handoff planner for review, backup and acceptance targets. Compare the video candidates using the same representative task and customer viewing requirement.
